One Company, Several Buyers: When to Commission Modular Capability Sheets

Published:

6 min read

Use modular capability sheets when buyers ask genuinely different questions but the underlying company facts remain the same. Maintain an approved core, then select modules that explain the capability relevant to each reader. Do not start by commissioning a separate document for every sector. Start with the decision each sheet supports and the different evidence it requires.

Modularity can help when salespeople repeatedly delete random pages from a large profile or rewrite the same service differently for each opportunity. If only the prospect's name changes, however, a separate document family may create maintenance work without improving the buying conversation.

Separate three content layers

The first layer contains relatively stable company facts: name, description, current services and contact routes. The second contains capability modules: a defined problem or service, the approach, relevant evidence and scope boundaries. The third contains opportunity-specific material: a customer's requirements, open questions and proposed next steps. Keep that third layer out of the general company reference.

A company profile and capabilities pack can turn this structure into a core document with standalone sheets or selectable appendices. Agree the intended use before design. Will a sheet circulate alone, require a cover note or be printed? It should remain understandable when somebody forwards it without the salesperson's explanation.

Create a selection matrix

Reader Decision question Suitable module Keep outside the module
Maintenance team Can this supplier support the relevant equipment? Service boundaries and assessment steps Unapproved response-time commitments
Procurement contact What is needed to request a quotation? Supply categories and enquiry requirements Prices from another opportunity
Operations manager How are responsibilities allocated? Coordination, handover and escalation Technical detail unrelated to the decision

Give every module an audience, purpose, owner and review date. Do not identify it only by page number, because pagination changes when documents are assembled. Use a stable internal reference and a reader-friendly external title.

Check whether any important qualification exists only in the core profile. A sheet that looks independent but omits a governing service limitation is not ready to circulate on its own. Either include the necessary context or clearly define the sheet as an appendix that must travel with the relevant material.

Worked hypothetical: an equipment supplier

Suppose a supplier has an eight-page profile and regularly speaks with maintenance and procurement teams. The page count is illustrative, not a recommended standard. Its core contains a company introduction, equipment categories, actual service coverage and contact details.

The maintenance sheet explains the information needed to identify equipment, how suitability is reviewed and when an additional assessment is necessary. The procurement sheet lists the inputs for a quotation: item code, quantity, delivery location and requirements needing confirmation. Both use the same approved company description, without repeating the entire profile.

During preparation, the team finds an older sales version promising support for “all brands.” The approved service scope is narrower. It removes the statement from the source and affected sheets before release. The solution is not to keep the broader wording for buyers who might prefer it.

A prospect then requests a discussion about several sites. The supplier prepares a tailored business presentation for that opportunity rather than putting customer-specific promises into a general capability sheet. The modules remain reusable information, not accidental commercial offers.

Specify components, not just page counts

The brief should identify modules, content sources, languages, assembly rules, editable deliverables and responsibility for checking the assembled output. If interviews or substantial rewriting are required, include them explicitly within content strategy and production. They are not automatically minor layout changes.

Decide whether your team will assemble documents or receive ready-made combinations. Self-assembly needs simple instructions: permitted combinations, required introductions, editable fields and a pre-send check. A small team may only need a clear index and one approved folder; automation is not a prerequisite.

Also decide what happens when a shared fact changes. The owner should be able to identify every affected module, replace approved outputs and withdraw old copies. Otherwise, a modular system merely distributes contradictions into smaller files.

Test independence and consistency

Give one sheet, without the core profile, to a colleague who was not involved in production. Can they identify the service, boundaries and next step? Then compare sheets for two audiences. Their emphasis and evidence may differ; company identity and actual coverage should not.

Before acceptance, confirm that:

  • The reader can choose the relevant sheet from its title and short description.
  • Every module carries enough context for its agreed use.
  • Evidence is approved for the intended distribution.
  • Contact information and links work in the exported output.
  • Arabic and English versions describe the same service boundaries.
  • A shared change can be traced to all dependent sheets.
  • Salespeople know which fields they may edit and which require approval.

Frequent mistakes include creating so many sheets that nobody can choose one, changing facts to please each audience and copying an old prospect-specific file into a new conversation. A small set of selection rules and an accountable publishing owner are more useful than an ever-growing template library.

Frequently asked questions

Does a capability sheet replace the company profile?

It may be sufficient for an initial conversation about one service. If the buyer requests broader information or specific documents, provide those rather than assuming the shorter sheet satisfies every requirement.

How many modules should we create?

Start with recurring differences in buyer questions that your evidence can support. A sector keyword alone is not a reason to imply specialist credentials or create another document.

Can salespeople edit the sheets?

Define permitted fields, such as a contact person's name. Changes to services, evidence and qualifications should follow the agreed approval route and update the master where appropriate.

What should we send LAB?

Share the current profile and two contrasting enquiry examples with sensitive information removed. These help distinguish a reusable capability module from material that belongs in a specific sales presentation.
